DAY OF COORDINATION

Hudson Valley Wedding Deer Mountain Inn First Look

PLANNING YOUR WEDDING ON YOUR OWN IS NO SMALL THING, and here's where we come in…

You have a clear vision for how you want your wedding to look and feel, but not necessarily the time, energy, or desire to manage all the moving parts that bring it to life. You care deeply about the atmosphere, the guest experience, and actually being able to enjoy the day you’ve spent so much time planning.

If you’re a Type A couple looking for a Type A planner, you’re probably in the right place.

We’ve worked with hundreds of couples who wanted a wedding that felt intentional, organized, beautiful, and seamless without feeling cookie cutter or overly stressful. Bring your vision, your priorities, and whatever inspiration you’ve been gathering. I’ll help turn it into a clear, organized plan and guide the process from there.

Our Clients Are Typically

GOOD HUMANS

Kind, thoughtful, and deeply appreciative of the people gathering to celebrate with them.

They want their wedding to feel personal, welcoming, and beautifully organized, with space to be fully present for the people and moments that matter most.

INTENTIONAL

Invested in the details, but not interested in managing them on the wedding day.

They want the planning to feel organized, the guest experience to feel considered, and the celebration itself to feel effortless. I handle the moving pieces behind the scenes so they can stay present for the moments they planned so carefully.

FUN-LOVING

Excited to actually enjoy the celebration they are planning.

They want a wedding that feels beautiful, personal, and full of life, not a day spent watching the clock or worrying about what happens next. They care about the details, but they also want to laugh, dance, eat, drink, hug their people, and be fully in it.

Full Planning & Design

I’ll guide you through each step of the planning process with structure, clarity, and thoughtful attention to detail. Early in the process, we’ll develop a cohesive design and planning framework, giving us a clear vision to build from and a comprehensive plan to execute. I’ll offer personalized vendor recommendations, gather comparable pricing and package information, help you review proposals and navigate contracts with confidence, and keep the planning timeline moving from start to finish.

You’ll have unlimited access to me via email, virtual meetings, phone calls, and text messaging, along with bi-weekly planning meetings to review progress, discuss to-do items, and talk through decisions.

I will also create custom 3D CAD renderings to help you visualize your wedding design before the day arrives. Showing the layout, flow, key design elements, and guest experience so you can clearly picture how everything will come together and your vendors have a clear plan to execute.

Throughout the process, I’ll keep the details organized, including budget tracking, vendor bookings, timelines, layouts, rentals, design details, planning checklists, communication, and logistics. You remain in control of your spending and vendor choices, while I help you stay informed, organized, and confident from start to finish.

PARTIAL PLANNING & DESIGN

This package is nearly identical to our 'Full Planning' package, but it's designed for clients who want to be more involved. I have removed some key planning elements, but our commitment to quality service remains the same.

ONLY 3 DIFFERENCES BETWEEN THE PACKAGES

  1. You'll create and manage your wedding website, with my support and guidance.

  2. I'll help you select the right printed items for your event, such as invitation
suites, welcome sign, and table numbers, and review the proofs with you
before printing. You'll communicate and coordinate with the printing company
    for design and ordering.

  3. You'll also be responsible for tracking and making payments to your vendors.

Many couples are comfortable owning those select responsibilities, and for them, Partial Planning can be an ideal fit.

If you would prefer a more comprehensive level of support, with those details folded into the planning process, Full Planning may be the better option for you.

INVESTMENT & FIT

Because no two weddings are alike, planning proposals are customized based on the venue, location, guest count, scope of service, number of events, weekend coverage, vendor team, rental needs, production complexity, and overall planning timeline.

Most of our couples invest between $20,000 and $50,000+ for planning support, depending on the level of service and complexity of the wedding.

I take on a limited number of weddings each year so I can stay closely involved and give each couple the attention, organization, and personal support this process deserves. Because of that, the inquiry process is intentionally thoughtful and centered on making sure the fit feels right on both sides.

VENUE SELECTION ASSISTANCE

(This service is contracted separately from all planning packages)

Before the planning process can fully take shape, we need to understand where your celebration will unfold.

From open fields with tents and generators to elegant estates and industrial lofts, every venue comes with its own set of logistics, restrictions, and possibilities. That’s why Venue Selection Assistance is offered as a standalone service before we finalize any Full or Partial Planning package.

💡 Read more about how it works or reach out to get started - I would love to help you find the perfect place to begin your celebration.

DAY OF COORDINATION

WHY WE START BEFORE THE WEDDING DAY

If you’re here because your venue requires a “Day-of” or “Month-of” Coordinator and you’ve been down a rabbit hole of websites still trying to figure out what that even means, you’re definitely not alone.

TODAY’S WEDDINGS ARE RARELY SIMPLE HANDOFFS.

Between vendor communication, timelines, layouts, rentals, family dynamics, design details, transportation, guest flow, and all the moving pieces behind the scenes, stepping in just weeks before the wedding often isn’t enough to support the day properly.

That’s why we do not offer day-of or month-of coordination.

Instead, we begin working with our couples early in the planning process, typically 12+ months in advance, through Partial and Full Planning services. This allows us to understand the full scope of your wedding, anticipate issues before they become problems, and make sure every detail is thoughtfully organized long before the wedding day arrives.

VENUE COORDINATOR VS FULL WEDDING PLANNER

A Venue Coordinator manages venue-related details
Think: setup, venue staff, property rules, and making sure the space is ready to go.

A Wedding Planner manages everything else
Think: budgeting, structured planning timelines, vendor guidance, detailed to-do lists, design direction, floor plans, rental orders, guest flow, family logistics, wedding-day schedules, and all the moving parts you didn’t even know were moving.

In short: The venue coordinator runs the venue, the wedding planner runs the wedding.

  • Of the thousands of decisions you'll make as you plan your wedding, your coordinator/planner is arguably the most important. We knew from our first phone conversation with Cathy that she was the best person we could find - sharp, funny, organized, no-BS, and the kind of planner who would keep our best interests at the forefront of every part of the process. Hiring Cathy saved us time, money, stress, and eliminated a lot of potential fights with loved ones in the lead-up to the wedding and then ensured that our day ran flawlessly (at least from our vantage point...). She is communicative, responsive, and insanely detail oriented - everything you should want in a planner. We can't say enough good things about her!

    REBECCA & ZACH

  • Cathy is the most organized person I may have ever met! She was on top of every aspect of our wedding from A-Z. She helped me stay organized with spreadsheets, files, and even let me mail items directly to her to bring to the wedding so I didn't have to worry about setting things up myself. She provided a level of organization I didn't know I needed, and the whole day ran completely smoothly. She was a lifesaver! Highly recommend!!!

    CAT & JARED

  • If you want a wedding planner who will actually roll up their sleeves and run the traps on all of the nitty gritty details of your wedding from start to finish, no matter how complicated things get during the planning or on the day of your event, and who will do it with grace and professionalism, you should hire Cathy. If you want to leave all of that up to chance, hire someone else, but I promise you will regret it.
